Work & Pay Calculators

Which work and pay calculator should I use?

Use the PTO Payout Calculator when you already know how much unused paid time off you have and want to estimate its gross monetary value. The calculator can work from PTO recorded in hours or days and can use an hourly rate or annual salary to estimate the value.

Use the Vacation Accrual Calculator when you want to estimate how much vacation time you have earned over a period. It can help track accrued leave and calculate an estimated available balance after taking previously used vacation into account.

Understanding PTO payout calculations

A PTO payout calculation estimates the gross value of unused paid leave. When PTO is recorded in hours, the basic calculation uses the number of eligible PTO hours and the employee's applicable rate of pay.

When pay is provided as an annual salary, the salary must first be converted to an equivalent rate based on the working-time assumptions used in the calculation. The PTO Payout Calculator shows the values used so the result can be checked against your own employment records or company policy.

An estimated PTO value does not necessarily mean that the same amount must be paid by an employer. Eligibility for a payout and the rate used can depend on employment terms, company policy and applicable rules.

Understanding vacation accrual

Vacation accrual describes leave that builds up over time according to an employer's leave policy. Depending on the policy, vacation may accrue by hours worked, by pay period or at another stated rate.

An available vacation balance can also be affected by leave already taken, starting balances, maximum accrual limits and other policy rules. When checking an accrued balance, use the accrual method and figures that apply to your own workplace.

Important considerations for work and pay calculations

Workplace calculations are not always determined by mathematics alone. Employment contracts, employer policies and applicable laws can affect whether leave is earned, carried forward, forfeited or paid out.

CalcAtlas calculators provide mathematical estimates based on the information you enter. Results should not be treated as legal, tax or employment advice. For an official balance or payment amount, check your employment records, workplace policy or the rules that apply in your location.
